Frequently asked questions
Everything you need to know.
How the AI employees work, how we keep patient data safe, and what it takes to go live. Straight answers for the teams who run scheduling.
Neutropy is an AI employee that runs patient scheduling from referral to booking. It reads an incoming GP referral, calls the patient to offer and confirm an appointment, then writes the booking straight back into the hospital's PMS or EHR. Routine calls are handled automatically, and anything that needs a person is warm-transferred to your team, so the same staff and phone number stay in place.
Yes. Neutropy is built GDPR-first and processes data under a Data Processing Agreement with every operating clinic. Personally identifiable information is stripped from clinical text before any large language model sees it, so identifiers like names, PPS numbers, IHI, phone numbers and addresses never reach the model. Every action the AI takes is logged for a full audit trail.
All data is stored and processed in the European Union. Our infrastructure and sub-processors are EU-resident, covering hosting, telephony, voice and email. This keeps healthcare data inside EU jurisdiction and simplifies compliance for Irish and UK hospitals and clinics.
Neutropy is built to read referrals and write bookings back into hospital practice-management and electronic-health-record systems, including HL7 v2 and FHIR-based interfaces. We work with each hospital's existing setup rather than asking teams to change systems. You can see the current list and request a specific system on our integrations page.
Neutropy handles scheduling and administration, not clinical decisions, and it never gives medical advice. A defined set of situations always triggers a warm transfer or escalation to a human staff member, and every call and booking is logged and reviewable. Clinics keep full control and can adjust the escalation rules to their own policies.
No. Neutropy takes the repetitive, high-volume calls that stack up in a day so your team can focus on the patients and cases that genuinely need a person. The same clinic, same staff and same phone number stay in place; the AI simply gives time back to the people already doing the work.
Neutropy is offered as a subscription for private hospitals and clinics, scoped to the volume of referrals and calls handled. Pricing is agreed per organisation after a short scoping conversation, so it reflects your referral flow and the systems you use. Book a demo and we will walk you through a quote for your setup.
Most clinics are live within a few weeks, not months. Onboarding covers connecting your PMS or EHR, configuring escalation rules and call scripts, and running supervised test calls before go-live. We spend real time on-site with each clinic to get the details right.
Neutropy speaks naturally with patients across a range of accents and can operate in multiple languages to match your patient population. The voice is designed to be clear, polite and steady, including with older patients or those speaking a second language. Language settings are configured per clinic during onboarding.
The AI is built to stay calm and to recognise when a call needs a human. If a patient is confused, upset or distressed, or asks for a person, Neutropy warm-transfers the call to your staff rather than pushing on. Handling these moments well is a core design requirement, not an afterthought.
Data is retained only as long as needed to deliver the scheduling service and to meet each clinic's legal and clinical record-keeping obligations, then deleted according to agreed retention periods. Retention terms are set out in the Data Processing Agreement with each operating clinic. Clinics remain the data controller and can request deletion within those terms.
Neutropy is built for private hospitals and clinics in Ireland and the UK, including NHS settings, that want to shorten the path from referral to booked appointment. It is built by a Dublin team working alongside senior hospital operators and advisors who have run Irish healthcare organisations. That operator experience shapes how the product handles real scheduling workflows.
